This Privacy Policy explains how HWS Technologies (“we,” “us,” or “our”) collects, uses, and discloses information about you when you use the hapaSheet Pro Google Workspace automation service and our website, located at hapasheetpro.com.

1. Who We Are

Our website address is: hapasheetpro.com. We are HWS Technologies, the creators of the hapaSheet Pro tool, dedicated to providing powerful bulk management solutions for Google Workspace administrators.

2. Information You Provide Directly

We collect personal data you provide directly to us through forms and user interactions on our website.

Comments

When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Form Submissions (via Formidable Forms)

We use Formidable Forms to collect data for contact inquiries, sales questions, and trial sign-ups. The personal data collected (such as name, email address, company name, and message content) is used to respond to your inquiry, provide support, and manage your account.

Customer Support (via Fluent Support)

If you submit a support ticket, we collect the personal data provided, including your name, email address, hapaSheet Pro user ID, and detailed descriptions of your issue. This data is retained and used solely for the purpose of troubleshooting and providing customer service.

3. Data Collected Automatically

Service Data Access (Google Workspace)

hapaSheet Pro is a Google Workspace Marketplace application. When you use the application, you grant us access to specific Google Directory API scopes (such as user, group, and alias management) to perform the bulk operations requested by you within your Google Sheet. We only access and process your Google Workspace data when you explicitly run an operation within the hapaSheet Pro interface. We do not store, log, or transfer your operational Google Workspace data (user lists, groups, etc.) outside of your Google Sheets environment and the Google Directory API.

Cookies

If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Analytics and Tracking (via Google Site Kit)

We use Google Site Kit to integrate Google Analytics and Google Search Console. These services automatically collect and analyze information about your use of the website, such as IP address, browser type, operating system, and pages viewed, to help us understand website traffic and performance. This data is subject to Google’s privacy policies.

Embedded Content from Other Websites

Articles on this site may include embedded content (e.g., videos, images, articles from our blog). Embedded content from other websites (such as YouTube videos from our official channel) behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Media

If you upload images to the website (e.g., in a support ticket, if permitted), you should avoid uploading images with embedded location data (EXIF GPS) included.

4. How We Share Your Data

We only share your data with trusted third parties necessary for operation:

  • Billing and Licensing: All payments, subscription management, and licensing verification for hapaSheet Pro are handled exclusively by the Google Workspace Marketplace and its payment processor. We do not receive or store your credit card or billing information. This data is governed by Google’s policies.

  • Spam Detection: Visitor comments may be checked through an automated spam detection service.

  • Login Security: If you request a password reset, your IP address will be included in the reset email.

5. How Long We Retain Your Data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Data related to financial transactions and support requests (Formidable Forms, Fluent Support) is retained for legal and administrative purposes.

6. What Rights You Have Over Your Data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

7. Where Your Data Is Sent

Visitor comments may be checked through an automated spam detection service. Data collected via Google Site Kit and embedded content is sent to Google/YouTube servers. Billing and licensing data is processed securely via the Google Workspace Marketplace.
